Efficient SharePoint Use

Efficient SharePoint Use is an asynchronous eLearning course designed to help BRHP employees use SharePoint more efficiently and accurately in their daily work.

The course integrates interactive tutorials, scenario-based simulations, and practical exercises that enable learners to master essential SharePoint skills through real-world contexts.

Motivation


During my internship at the Baltimore Regional Housing Partnership (BRHP), I noticed that many employees were familiar with SharePoint but frequently encountered similar issues and often relied on technical staff for assistance.

After discussing with the technical team, I compiled a list of common challenges and designed this course based on those real problems.

To improve employees’ efficiency and confidence, I created a scenario-based course featuring annotated screenshots of real SharePoint pages. Learners can interact with the course to practice tasks directly in simulated environments and build hands-on competence.


Needs Assessment


To validate the learning needs, I collaborated closely with the subject matter experts (SMEs)—the technical staff at BRHP.

Through meetings and feedback sessions, we identified three major issues:


Difficulty quickly locating or filtering specific items in SharePoint lists


Limited understanding of how to customize list views


Confusion about file sharing permissions and workflow settings


These findings shaped the course focus—prioritizing efficiency and problem-solving skills over basic navigation training.


Learning Objective


Learners will be able to effectively use SharePoint’s View tools to locate and organize data efficiently.


Instructional Strategy


Based on SME feedback, I divided the course into two main parts:


Part 1: Instruction-focused modules explaining key functions step by step


Part 2: Simulation-based practice tasks that mirror real workplace scenarios


The course design follows Gagné’s Nine Events of Instruction and applies a scenario-based learning approach.

Each task is contextualized with authentic BRHP use cases, such as updating a housing choice voucher list or locating specific policy documents. Learners interact directly with screenshots of actual SharePoint interfaces and apply their knowledge in a final challenge that integrates all learned skills.


Design & Development


I followed the ADDIE model throughout the design and development process, starting with text scripts, visual mockups, and flowcharts.

After building the initial prototype, I applied the SAM (Successive Approximation Model) for multiple rounds of refinement based on feedback.

All course screens were designed and developed in Articulate Storyline 360, incorporating SharePoint screenshots, interactive hotspots, instructional tooltips, subtitles, and high-contrast accessibility design for better usability.


Outcome


The final product is a learner-centered, high-quality eLearning course that is currently being implemented at BRHP.

All employees are expected to complete the training by the end of 2025.

This project demonstrates my ability to align instructional design theory with real organizational needs and reflects BRHP’s continued commitment to training innovation and staff development.
